A great board meeting provides an opportunity for discussion of important business issues and decisions as well as nailing down company policies. To make the most of every board meeting, you must be prepared, set expectations about the amount of discussion feasible, and follow the agenda.

The best way to avoid boring meetings is to establish specific goals for meetings and revisit them on a regular basis to ensure that the actual meeting is running on time. By getting bogged down in reports or technicalities that could have been reviewed prior to you, you are wasting the opportunity to have your board members discuss issues in the business world that can’t be resolved by the management team on its own.

Consider setting up a consent agenda to items that do not require discussion (like minutes or financial reports) to cut down on time spent during the meeting. This allows board members to approve documents quickly and reports that do not need further discussion.

Distribute the board materials three to four days in advance so that the attendees can go through them prior to the meeting. This will reduce the amount of time in the meeting reading reports and gives them a an opportunity to ask questions before they become more complicated.

Include a “parking area” at the end of the board package so that items that aren’t relevant to this meeting can be moved to another meeting. This won’t hinder the most important agenda item. This will also help mitigate the risk that the most important agenda items get pushed to the back of the meeting and might not be discussed in any way.
